Tips for hosting a wedding welcome party: guestlist, themes, activities and more

The 'party before the party' you didn't know you needed.

A ‘welcome party’ is the perfect pre-wedding way to get the celebrations started. “It is a pre-wedding soirée that lends an intimate atmosphere for the families of the bride and groom to break the ice,” explains Jueta Hemdev, co-founder, Yolo Entertainment & Weddings.

Monil Shah, founder, KKings Weddings & Events, adds, “The ‘party before the party’ is an ode to the close friends and families of the couple, who have closely witnessed their journey of love. Toasts, gifts, a meaningful speech, and more make up the joyous affair.”

“Since the welcome soirée is an intimate event, giving the families a chance to connect, couples often opt for a sit-down dinner with a menu customised to suit their preferences,” he adds.

According to Hemdev, first and foremost, you must pick a theme and colour palette to set the mood for the evening. “From a traditional sit-down Rajasthani meal to an unconventional masquerade ball, the couple should curate their welcome party with a central theme in mind. This will help establish uniformity across décor, food, outfits, and more.” She also suggests adding personalised elements—such as a quirky photo booth or monogrammed cutlery—to make the event a memorable one. Remember, the ‘welcome party’ should strike the right balance between fun and intimacy so that your guests get to know each other before the big celebrations.

“Intimacy and personalisation is what makes the welcome dinner special. The theme is left at the couple’s disposal, and it should match their personalities. They could consider an elegant set-up or a casual bring-in, with bursts of quirkiness. Detail-oriented décor, scrumptious food, and an impressive line-up of entertainers—such as a live singer who performs a medley of the couple’s favourite songs—can help take things up a notch,” says Shah.
